Follow-up playbook

How to build an AI lead follow-up process your team can actually use

A practical checklist for connecting channels, collecting missing answers and keeping people in control of AI lead follow-up.

Start with the next decision

Before choosing a voice or writing five messages, decide what your team needs to learn from a new inquiry. Is the goal a consultation request, a complete intake or a handoff to an office? Write down the minimum information required. This keeps the assistant focused and makes the result reviewable.

Separate no response from an unfinished conversation

A person who has not answered needs a different approach from someone who already explained their situation. Build a no-response sequence, then define how the assistant collects missing information after a reply. Set contact hours, reasonable attempt limits and a clear way to stop.

Connect channels before testing the plan

Check the phone sender, SMS registration, WhatsApp sender and templates, and email connection independently. A connected calling number does not automatically authorize every messaging channel. Test only the services available to that workspace and use an authorized test recipient.

Review the record, not just the notification

After each test, inspect the call outcome, messages, delivery status and collected answers. Ask whether the next step reflects what the person actually said. A queued message is not the same as a delivered message, and an answered call may be voicemail.

Make human takeover explicit

Your team should be able to read a conversation without accidentally stopping the assistant. Use a clear pause or takeover action when someone wants to intervene. Before resuming, check that the remaining plan still makes sense and that contact permission has not changed.
